Modernizing Printer Environment to improve sustainability and reduce costs

With the help of Carefree Office Technology, the American Society of Civil Engineers (ASCE) transformed their aged printing fleet to an optimized, streamlined and energy efficient managed print program.

Challenge: Achieve LEED Gold Certification

Committed to increasing sustainability at ASCE’s headquarters and achieving LEED Gold Certification in August 2013, ASCE’s individual printers and aging printers proved difficult to manage when it came to costs and efficiencies. Faced with the decision of paying even higher costs for obsolete, non-Energy Star Certified printers, ASCE turned to Carefree Office Technology for help.

Old Printer Environment

Printers and Multi-Function printers:81
Total that were local printers:25
Number of devices that print less than 500 pages/month:62
Number of devices more than 10 years old32

Solution: Transform to An Efficient and Sustainable Print Environment

To begin the transformation towards an efficient and sustainable print environment, Carefree first performed an assessment to identify the areas for improved operational efficiencies. The recommendation was to remove individual printers and install a new fleet of shared network printers that would modernize and optimize the printer fleet while enhancing reliability, saving energy and reducing operating costs.

New Optimized Printer Environment

Carefree removed low usage and obsolete printers and refreshed the environment with 15 new networked Energy Star Certified devices that supported ASCE’s LEED Certification goals. This resulted in an optimized output fleet totaling just 28 network devices (a 3:1 reduction). The team implemented a remote monitoring solution enabling just-in-time toner replenishments. This action eliminated issues associated with backup toner inventory such as lost or out-of-date toners.

Benefits: Increased Efficiency and 30% Reduced Cost

The Managed Print Services solution provided by Carefree is helping ASCE focus on important matters inside running their business. The reliability and highly efficient print environment is operating successfully and is delivering the results promised. In addition, since the inception of Carefree’s “Green Footprint” free recycling program (fall 2013), ASCE has returned 114 empty toner cartridges in the freight-prepaid cartons for recycling. Finally, this new approach reduced ASCE’s operational expense by approximately 30%.
