So, You Want A Proposal for your Copier or MFP, But Don't Have Time To Meet?

It happens every day. We get an email or phone call from a potential new customer needing to upgrade a copier or MFP. That’s great! We appreciate the opportunity to earn a new client relationship… that’s one of the things that makes our world go round! So, the first thing we do is schedule an appointment to meet the prospective new customer and learn face-to-face about their unique requirements and do what we call a Site Survey.

Most of the time, we agree on a time to meet at the client’s office. However, occasionally the prospective new client is hesitant about actually meeting in person - they’d prefer that we just send a quote based on the short list of requirements that they are aware of….

Ahhh, this is an important ‘red flag’ which can cause us to respectfully withdraw from the ‘opportunity’. Why is this bad news for us if the client won’t meet face-to-face? 25 years of experience has taught us the following about potential clients that won’t take the time to meet us for an information gathering visit:

1. They are only interested in price

It is true that price is important, and the reality is that Carefree is very competitive on price. More important though is that we strive to compete on overall value and factor your true needs into our proposal. To make such a large lease or purchase investment without actually meeting with a competitive new vendor will likely cost you more in the long run.

At our company, we are interested in long term relationships with our clients rather than quick sales. And we will try to save you money. But without a face-to-face initial visit, we likely would take a pass on preparing a ‘shoot-from-the-hip’ proposal that is almost guaranteed to be way off the mark.

2. They are NOT really interested in engaging our services

They are simply looking to check off the requirement from their ultimate decision maker to get additional quotes to compare against their preferred vendor's quote to justify their staying with a favorite vendor.

3. They don’t understand the process of purchasing a new Copier, Printer or MFP

The caller has been tasked by the boss to ‘get a few quotes’. Usually this person doesn’t have a good understanding of their actual requirements of a new device. Likely they are not even a primary user of output devices in their office. Almost certainly, they have no idea of budget or future requirements based on output growth or office expansion. They may not know that today’s copier and multifunction printers are highly customized to specific customer needs that affect lease payments and purchase pricing.

Bottom line is that we take all opportunities to service clients very seriously. Great clients are hard to come by these days and when we prepare a recommendation we invest several hours of our time to get that recommendation right on target with your needs.

Making A Proper Recommendation For A Copier, Printer or Multifunction Device

So, for us to make a proper recommendation for a new or replacement copier, printer or multifunction device, we need to visit your office, ask questions of key users and actually look at the physical space in which a new system would be installed. That’s how we really learn how (and if) we can help your business! There are no shortcuts.

Regardless of what brand you ultimately select (Xerox, Canon, Sharp, Konica-Minolta, etc) the REAL differentiator to consider is the dealership and their capability to support you long after the agreement is signed for the 3 to 6 year typical life cycle of today’s copiers and multifunction systems that print, copy, scan and fax.
